New Families Registration

  • Ashton Gate Out of School Care opens at 7:45am for Breakfast Club. Children will be provided with a selection of cereals, toast with toppings, fruit and a drink.
  • Afterschool club runs from the end of the school day until 6pm. Children will be provided with two snacks and drinking water is available throughout the session. We run age- appropriate activities each session that the children can join in with, or free play where children are able to use a variety of engaging toys, outdoor space and play equipment.

Registration forms will be processed in the order that they were received, and sessions allocated as such.

You will be contacted once your form has been processed- please allow up to 7 days for your form to be processed. We will then confirm if we are able to accommodate your session requests, or if you have been added to the waitlist. (Waitlists do tend to have quite a bit of movement over the summer, so if you have been given a waitlist position, it is likely that the position will change quite a bit over the summer period, and sessions may become available before the start of the school year).

When requesting sessions, the sessions are given for the entire school year- you do not need to re-apply each term. There is a three week notice period for permanent cancellations.

Settling in sessions-

We will also offer “daycare” sessions during the first few weeks of term- when the children are having their settling in sessions at school (attending school for the morning or afternoon)

The children will be able to choose from a range of interesting and fun activities while being cared for by experienced, skilled and qualified staff.

These sessions are designed to cover the key hours of a school day- 9am-3pm so will be in addition to any confirmed breakfast or afterschool sessions. As such, Children may also use any Breakfast Club (7.45am-9.00am) After School Club (3pm-6pm), if they have a confirmed session.

The cost of a session is just £12.50 (half) and £25.00 (full). This includes a healthy snack and drink but children will need to bring a packed lunch.

A member of AGOSC staff will escort children to/from their classrooms at the beginning/end of the session.

You will be able to book these sessions yourself via our online platform once your registration form has been processed.

Holiday club-

We are open for holiday playscheme during the summer holidays-

These sessions are open to 4years+ and are a great way to settle in and meet new people. Snacks are provided, but children will need a packed lunch. Sessions start from 07:45 with either a 4pm (or earlier) collection or 6pm option. You will be able to book these sessions yourself via our online platform once your registration form has been processed.

If you would like your child to attend Ashton Gate Out of School Care for either wrap around care (Breakfast/Afterschool club) or Holiday Playscheme, you will need to complete a registration form.

There is a registration fee of £50- this is charged per family, per academic year.

Frequently asked questions

– Will there be a waitlist and if so, how long is it?

AGOSC is very popular, breakfast club tends to have availability all week however, it is likely that there will be a waitlist for some after-school club days.

Mid-week is very popular and the waiting list tends to be longer, whilst Mondays and Fridays usually have a shorter waiting list. If you are able to accept single-day sessions and build up to your full requirement over time you will gain entry into the After School Club sooner. The biggest movement on the waiting list occurs over the summer and the start of September as parents finalise working arrangements.

If we are unable to offer your child a session we will let you know, and they will remain on the waitlist.

It’s difficult to offer a timeframe on when you may be offered a space during the academic year as we can’t predict how many children will leave the Club and on which days. The waiting list can also be fluid; we have found that people may decline a place when offered as their situation has changed, so you may accelerate up the list. Also, our session ratios are based on year group, so it may be that a session is given to a child further down the list depending on the age group of the cancellation.

We appreciate parents need to plan ahead and we will do our best to keep you updated. In return, it’s really helpful to know if your requirements change so we can update the waitlist accordingly.

– When are fees due?

Fees are due a term in advance. Please see Fees for details

– Can I cancel a session?

AGOSC is a not-for-profit organisation. Unfortunately, we can’t offer a refund if your child cannot attend a session. It is really helpful to let us know if they are unable to attend (e.g. if they are off sick), so we do not expect them and our register can be updated. You can mark your child as not attending via your child’s profile on the famly app.

– How do I cancel a regular booking?

To make a permanent cancellation to a regular session, please give us three weeks’ written notice. Please contact the administrator (Hayley Carswell- admin@agosc.com ) or the Playcentre manager (Bella Wright – bellaw@agosc.com) via email or via famly private message.

Step by Step:

Step 1: Complete the Registration Form

The registration form lets you tell us your child’s basic information as well as your contact information. Once we have received this, we will add you to our online booking system “FAMLY” and you will receive a welcome email.

Step 2: Set up your FAMLY account

You must then login to your account and enter all relevant information relating to your child. This includes address, medical and allergy information. You will also need to please add the name and contact details for every parent/carer of your child/children who has legal contact with and/or parental responsibility for them and will be in regular contact with the setting via the famly app.

You can add new contacts yourself from the “contacts” tab within your famly profile.

Select “new contact” then add their details and then save by selecting “create”.

Step 3: Pay the Registration Fee

Once you have been set up on FAMLY a £50 registration fee will be applied to your account. This is a yearly fee due at the time of registration. The registration fee applies to each family; there is no charge for additional children. It may be paid via Bank Transfer, Childcare vouchers or paid by debit card directly through the FAMLY app. Unfortunately we are unable to accept cash or cheques.

All booked places must be paid for termly in advance. If you have any problems with payments please contact the Administrator as soon as possible.

Step 4: Paying for Sessions

Session fees are due termly in advance.

Invoices are sent out electronically via FAMLY each term. You can view past invoices/your current balance via the “balance” tab on your FAMLY profile.

Fees can be paid by bank transfer (details shown on all invoices), via debit card (processed via the “balance” tab on your FAMLY profile), and childcare vouchers/ HMRC Tax Free Childcare payments. We are unable to accept cheques or cash payments.

Help with Childcare Costs

We understand that in these challenging times, childcare costs can seem like another huge expense that stretches already tight budgets. To help, we would like to point you in the direction of The Daycare Trust’s website and, in particular their Paying for Childcare page. There is information and guidance for working parents, parents who are studying and also a Tax Credit checker so that you can find out what you are eligible for.

  • By childcare vouchers or HMRC tax-free childcare system. We accept HMRC tax free childcare and all other childcare voucher schemes.

    You can get up to £500 every 3 months (up to £2,000 a year) for each of your children to help with the costs of childcare. This goes up to £1,000 every 3 months if a child is disabled (up to £4,000 a year).
